WhatsApp made following up easier and, at the same time, easier to ignore. Your message now sits alongside family groups, forwards and a dozen other businesses. Getting a reply is no longer about reaching someone. It is about being worth replying to.
Give a reason for the message
"Just following up" gives the reader nothing to respond to. A follow-up that carries something, an answer to a question they raised, a revised timeline, a relevant example, gives them a reason to open it and something to reply to.
If you genuinely have nothing new to add, it is usually better to wait until you do.
Ask one question, and make it easy
Messages with three questions get zero answers, because answering properly feels like work and gets postponed. One clear question, ideally answerable in a few words, gets a reply far more often.
Compare "Please let us know your thoughts and how you would like to proceed and what timeline suits you" with "Should I hold the slot for next week, yes or no?". The second one gets answered from a moving auto-rickshaw.
Respect the timing
Messages sent at 11 PM get read at 11 PM and forgotten by morning. Business hours work better, and mid-morning tends to beat both early morning rush and post-lunch. Sunday messages mostly signal that you do not respect boundaries.
Keep it short enough to read on a lock screen
If your message needs scrolling, it will be saved for later. Later rarely comes. Three or four lines is usually the limit for a first follow-up.
Know when to stop messaging and call
After two unanswered messages, a third will not help. Either call, or send one clear closing message that makes it easy to say no: "Happy to park this for now, just let me know if the timing changes." This gets a surprising number of honest replies, and honest no is more useful than indefinite silence.
Write it down somewhere other than WhatsApp
The chat is a conversation, not a record. What was quoted, what was agreed, when to follow up next, those belong somewhere you can see across all customers at once. Otherwise you are managing your pipeline by scrolling, and things will fall through.
