1. Acceptance of Terms

By accessing or using Track Flows (“Platform”), you agree to be bound by these Terms & Conditions. If you do not agree, please do not use the platform.

2. Nature of Service

Track Flows is a digital business management platform designed to help small and medium Indian businesses manage their operations end-to-end. The Platform provides the following modules and features:

• Sales Entry & Invoicing — Create and manage GST-compliant sales invoices
• Purchase Entry — Record and track purchase bills and vendor payments
• Daily Collection Entry — Log daily payment collections from customers
• Income & Expense Tracking — Monitor business income and categorised expenses
• Team Management — Assign tasks, set priorities, track team performance and productivity
• Lead Management — Manage the sales pipeline from lead capture to conversion
• Analytics & Dashboards — Charts, KPIs, and reports generated from your business data
• Subscription & Billing — Manage your Track Flows plan, auto-pay mandate, and module add-ons
• WhatsApp Notifications — Automated WhatsApp alerts for invoices, collections, and team updates
• Two-Factor Authentication (2FA) — TOTP-based security for your account login
• Developer API — Programmatic access to your business data via REST API and API keys
• Refer & Earn — Earn reward points by referring other businesses to Track Flows
• Email Settings — Configure your own SMTP to send branded emails to your customers

The Platform provides insights based on the data entered by users. New modules and features are added from time to time; continued use after a module addition constitutes acceptance of its inclusion under these Terms.

3. Accuracy of Reports & Analytics — Important Notice

Track Flows generates reports, charts, dashboards, forecasts, and business insights based entirely on the data you and your team enter into the platform. Please note the following:

• The Platform performs calculations and generates analytics automatically. Like any software system, it may produce incorrect results if the underlying data contains errors, is incomplete, or is entered incorrectly.
• Forecasts, trend lines, profit projections, and AI-assisted suggestions shown in dashboards are indicative estimates only — they are not financial advice and may not reflect actual future outcomes.
• Track Flows does not guarantee the accuracy, completeness, or fitness for any particular purpose of any report, chart, or calculation generated by the Platform.
• You should always independently verify important business figures — especially those used for GST filing, financial reporting, or major business decisions — against your source documents and with your accountant or financial advisor.
• The responsibility for ensuring that data entered into the Platform is accurate, complete, and up-to-date rests entirely with the user.

This disclaimer applies to all analytics features of the Platform, including but not limited to: sales reports, expense summaries, profit/loss overviews, cash-flow forecasts, team performance metrics, and lead conversion rates.

4. User Responsibility

Users agree that:

• All data entered is accurate, complete, and lawful
• Login credentials will be kept secure and not shared
• The platform will not be used for any unlawful purpose
• You will not attempt to reverse-engineer, exploit, or disrupt the Platform or its services

You are solely responsible for all activities performed through your account.

5. Account Security

We implement standard security practices including encrypted passwords, Two-Factor Authentication (2FA), and secure session management. However, users must:

• Keep passwords confidential and use strong, unique passwords
• Enable 2FA on your account for additional protection
• Avoid sharing login access with unauthorised individuals
• Log out of your account after use on shared devices

Track Flows will not be responsible for unauthorised access caused by user negligence.

6. Data Handling

Track Flows stores and processes your business data to provide analytics, reports, and platform features. Your data is stored on secure servers. We do not sell or share your business data with third parties except as required to operate the platform (e.g. payment processing, email delivery). For full details, see our Privacy Policy.

While we follow industry-standard security measures, absolute security cannot be guaranteed in a digital environment under all conditions.

7. Service Availability

We aim to provide reliable service, but uptime is not guaranteed at all times due to:

• Scheduled system maintenance
• Technical issues or server outages
• External disruptions (internet, hosting, third-party services)

We will endeavour to notify users of planned downtime in advance where possible.

8. Subscription & Payments

• A 15-day free trial is available to new users — no credit card required during the trial period
• After the trial, subscription fees apply as per the selected module plan displayed on the Pricing page
• Auto-pay mandate via Razorpay may be collected at trial sign-up; the first charge occurs only after the trial ends
• Payments once processed are generally non-refundable except as required by applicable law
• Pricing may change with at least 7 days' prior notice to registered users
• Additional modules can be added at any time from your Subscription page

9. Refer & Earn Programme

• Users who refer other businesses to Track Flows using their unique referral code earn reward points
• Points are credited when the referred business makes a subscription payment (10% of the payment amount)
• Points are valid for 1 year from the date earned and can be redeemed against your own subscription charges (1 Point = ₹ 1)
• Track Flows reserves the right to modify, suspend, or terminate the Refer & Earn programme at any time with notice
• Fraudulent referrals or self-referrals will result in forfeiture of all earned points and may lead to account suspension

10. WhatsApp & Email Notifications

By enabling WhatsApp or Email notifications, you consent to Track Flows sending automated messages to you and, where you configure the feature, to your customers on your behalf. You are responsible for ensuring you have the necessary consent from your customers before enabling customer-facing notifications.

11. Platform Updates

We may, from time to time:

• Add new features or modules
• Improve system performance or change the interface
• Modify, deprecate, or remove existing features

We will communicate significant changes. Continued use after updates constitutes acceptance of the revised Platform.

12. Limitation of Liability

Track Flows is not liable for:

• Business decisions made based on data, reports, or analytics produced by the Platform
• Errors in calculations, forecasts, or suggestions generated by the Platform
• Indirect, incidental, or consequential losses arising from use of the Platform
• Data loss due to user error, account misuse, or force majeure events
• Financial or tax penalties arising from incorrect data entry or reliance on Platform reports without independent verification

Our total liability to you for any claim shall not exceed the subscription fees paid by you in the 3 months preceding the claim.

13. Termination

We reserve the right to suspend or terminate access in case of:

• Violation of these Terms & Conditions
• Misuse of the Platform or its features
• Non-payment of subscription fees
• Fraudulent activity

Upon termination, you may request an export of your data within 30 days. After that period, data may be permanently deleted.

14. Governing Law

These Terms & Conditions are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts located in Gujarat, India.
